About the Role:

As a Project Administrator, you’ll provide vital support throughout the design and construction process—ensuring project documentation is accurate, organized, and delivered on time. • Track project deadlines and proactively support project managers and technical staff
  • Prepare and manage AIA contracts and related documentation
  • Process submittals : download, log, assign reviewers, and return to contractor
  • Process RFIs : log, distribute for review, return responses, and maintain records
  • Ensure reviewed documents are accurate, consistent, and properly filed
  • Generate and distribute weekly reports of outstanding submittals and RFIs
  • Maintain CPR (Change Proposal Request) logs and file associated correspondence

Office Administration Support (Approx 20% of your day)

  • Open and close the office daily and assist with office upkeep and shared space organization
  • Greet any visitors and support a welcoming, professional front office experience
  • Coordinate occasional office events
  • Manage supply inventory, mail handling, and basic facility needs
  • Liaise with building management and coordinate vehicle maintenance logs
  • Provide administrative support for special projects as needed

What You Bring:

  • 5+ years in an administrative, project coordination, or AEC (Architecture, Engineering, Construction) industry support role
  • Alignment with the company’s core values and people-first culture
  • Exceptional organizational skills with a strong eye for detail
  • Proficiency in Microsoft Office and PDF tools (Adobe, Bluebeam, etc.)
  • Experience with Deltek Vision or Vantagepoint is a plus
  • A proactive, team-oriented mindset and a desire to support others' success

If you are excited to be a part of a collaborative organization that believes in people first as well as a warm culture that feels more like a family environment than a workplace, apply to join the team today!
