Executive Assistant

Industry: Law Firm

Salary: $100 - 120K

Plus: Paid OT & Bonus & Fully Paid for Benefits

Location: Hybrid - 2-3 Days in Office, NYC - Midtown

Boutique Law Firm is seeking an Executive Assistant to support the Founding Partner of the firm in New York City. Great work/life balance – hybrid schedule, 2-3 days in office, hours are 8:30-5.

Responsibilities

  • Manage ever-changing professional/personal calendars
  • Coordinate conference room calendar for internal/external meetings
  • Enter visitors in building security system
  • Professional/personal travel
  • Ad-hoc personal work including booking appointments
  • Lunch/dinner reservations and ordering items as needed
  • EA will answer incoming calls for potential new clients
  • Conduct new client intake and conflict checks
  • Draft retainer agreements
  • Send out payment instructions and update client files
  • Sit in on meetings, take and summarize notes
  • Create and edit correspondence, presentations and other documents
  • Serve as back up support for operations team and front desk
  • Hybrid schedule, 2-3 days in office, hours are 8:30-5

Qualifications

  • Bachelor’s Degree required
  • 5+ years of EA support experience supporting C-level executives
  • Legal, professional services or finance industry experience
  • Possess excellent verbal and written communications skills
  • Strong organizational skills
  • Ability to multitask in a fast-paced environment
  • Ability to handle confidential information with discretion
  • Be able to problem solve and have strong decision making skills
  • Strong software skills including Microsoft Office Suite
