Job Description

Executive Assistant to CEO – Westside Foundation $175k - $190k

A prestigious Westside foundation is seeking a high-level Executive Assistant to provide exceptional support to a prominent CEO. This is a unique opportunity for a professional who thrives in a fast-paced, high-stakes environment and can serve as a trusted strategic partner to an influential leader.

The ideal candidate is a proactive problem-solver with impeccable attention to detail, strong business acumen, and the ability to manage complex priorities with professionalism and discretion.

Key Responsibilities

  • Provide expert calendar management, scheduling meetings and calls across multiple time zones.
  • Oversee email correspondence, draft professional communications, and serve as a liaison on calls with clients, partners, and key stakeholders.
  • Manage and update a CRM database to track and organize high-level contacts
  • Coordinate projects and events, including, board meetings, executive leadership meetings, and special initiatives—taking minutes and ensuring accurate follow-up.
  • Conduct research and prepare polished presentations for internal and external use.
  • Arrange complex domestic and international travel with detailed itineraries.
  • Partner with the CEO on strategic priorities, anticipating needs and ensuring seamless day-to-day operations.
  • Perform additional tasks and special projects as needed with a team-oriented mindset and a strong work ethic.

Qualifications

  • Minimum 7+ years of C-level executive support, ideally in a high-profile or mission-driven organization.
  • Intermediate to advanced Excel skills and strong business working knowledge.
  • Exceptional written and verbal communication skills with the ability to craft clear, polished correspondence.
  • Highly organized, detail-oriented, and able to remain calm under pressure.
  • A collaborative team player who is dialed in, proactive, and committed to excellence.
